Welcome to The Travel Office, a full-service travel agency dedicated to providing exceptional travel experiences for individuals and groups. By booking travel services with us, either as an individual or as part of a group, you agree to be bound by the following terms and conditions. Please read them carefully.
1. Services Provided
The Travel Office offers travel-related services, including but not limited to:
- Booking and reservations for flights, hotels, cruises, and transportation
- Group travel coordination and personalized itineraries
- Travel updates, reminders, and promotions via SMS/MMS messaging
2. Booking and Payment Terms
- Deposits and Final Payments: A non-refundable deposit may be required to secure bookings, with full payment due by the specified deadline. Failure to pay on time may result in booking cancellation.
- Cancellations and Refunds: Cancellations are subject to the policies of each service provider (e.g., airlines, hotels, cruise lines). Refunds, if available, may be issued according to these policies, minus any non-refundable deposits.
- Travel Insurance: We highly recommend purchasing travel insurance. Clients who decline insurance accept responsibility for any costs due to cancellations, delays, or emergencies.
3. SMS/MMS Messaging Terms
- Opt-In Consent: By providing your phone number, you consent to receive SMS/MMS messages from The Travel Office regarding your travel arrangements.
- Opt-Out: To unsubscribe, reply “STOP” to any message, or contact us directly.
- Message Frequency: You may receive 1-5 messages related to travel updates, reminders, and offers, depending on your itinerary.
- Standard Rates: Message and data rates may apply per your carrier’s terms.
4. User Responsibilities
By using our services, you agree to:
- Provide accurate information for bookings and reservations
- Follow all terms and policies set forth by individual service providers, such as airlines and hotels
- Adhere to the customs, rules, and regulations of each travel destination
5. Limitation of Liability
The Travel Office acts solely as an agent for third-party suppliers, including airlines, hotels, cruise lines, and insurance providers. We do not assume liability for:
- Injuries, damages, or losses resulting from supplier services or actions
- Delays, cancellations, or unforeseen changes in travel arrangements
- Additional expenses due to schedule changes, strikes, weather, or other events outside our control
6. Intellectual Property
All content on our website, including text, images, and logos, is the property of The Travel Office or its content suppliers. Unauthorized use or reproduction of any content is prohibited without prior written consent.
7. Force Majeure
The Travel Office shall not be liable for any delays, losses, or cancellations resulting from circumstances beyond our control, including natural disasters, pandemics, government actions, labor disputes, or other acts of force majeure. In such cases, any changes or cancellations will be subject to the policies of the specific travel providers involved.
8. Health and Safety
- It is your responsibility to ensure that you are medically and physically fit to travel. For group bookings, the group leader should ensure that all participants are aware of any health requirements.
- The Travel Office is not liable for any health-related incidents during travel. Please consult your physician regarding any health concerns or requirements related to your travel destination, including vaccinations.
9. Passports, Visas, and Travel Documents
- It is your responsibility to ensure that you have valid passports, visas, and other necessary travel documents for your destination. For group bookings, the group leader should ensure that all participants have the required documentation.
- The Travel Office is not responsible for any issues or costs arising from improper or missing travel documentation.
10. Special Requests
- Any special requests (e.g., dietary requirements, room preferences) should be communicated to The Travel Office at the time of booking. We will do our best to accommodate such requests, but we cannot guarantee them.
- For group bookings, special requests should be coordinated through the group leader.
11. Liability
- The Travel Office acts solely as an intermediary between you (whether an individual or group) and the travel providers (e.g., airlines, hotels, cruise lines, tour companies). We are not responsible for any injuries, losses, damages, or delays resulting from actions by third-party providers.
- You acknowledge that travel involves certain risks, and you agree that The Travel Office shall not be liable for any loss, injury, or damage resulting from such risks.
- The maximum liability of The Travel Office for any claim related to travel services shall be limited to the amount paid by the client for those services.
12. Indemnity
By using our services, you agree to indemnify and hold harmless The Travel Office, its officers, agents, and employees from any claims, damages, losses, or expenses (including legal fees) arising out of or in connection with your travel arrangements or any violation of these terms.
13. No Guarantee of Itinerary
All itineraries are subject to change without notice due to factors beyond our control, including weather, traffic, and third-party availability. The Travel Office does not guarantee specific attractions, events, or other itinerary components.
14. Promotions and Discounts
- Promotions or discounts offered by The Travel Office may be subject to specific terms and conditions, which may include restrictions on travel dates, booking deadlines, or the types of services included.
- Promotions cannot be combined with other offers unless explicitly stated.
15. Complaints and Disputes
- If you have any complaints regarding your travel arrangements, please inform The Travel Office as soon as possible so we may assist in resolving the issue.
- For group bookings, any complaints should be communicated through the group leader.
- Any disputes arising from your booking or travel arrangements shall be governed by the laws of the State of California and the State of Florida, as applicable.
16. Changes to Terms and Conditions
The Travel Office reserves the right to update or modify these terms and conditions at any time without prior notice. The most current version will be available on our website.
17. Acceptance of Terms
By booking with The Travel Office, either as an individual or as part of a group, you acknowledge that you have read, understood, and agreed to these terms and conditions.
